These Terms and Conditions apply to the services provided by Wild Socotra Tours. The terms "we", "us", and "our" refer to Wild Socotra Tours. By booking a travel itinerary or making any payment (including deposit or advance payment), you indicate that you have read, understood, and agreed to be fully bound by all the rights, obligations, responsibilities, limitations, and risk warnings stipulated in these terms and conditions.
1. Payment
1.1 Reservations
After discussing your travel consultants with our travel consultant, we will draft a preliminary itinerary for you. Once you approve the itinerary and confirm the booking, the reservation will be considered effective. We will send you a confirmation email detailing your personal information, itinerary, and services. Please carefully review the details. If you find any errors or omissions (such as name spelling, passport number, dates, etc.), contact your travel consultant immediately for corrections.
1.2 Deposit and Advance Payment
In order to ensure the availability of your flights, hotels, and tour guide services, we will require a deposit to be paid upon confirmation of your reservation.
For most standard group tours or customized itineraries, we typically charge a 15% deposit of the total tour cost. For large groups exceeding 10 people or special customized tours involving high-cost resource bookings (such as charter flights, exclusive hotel reservations, etc.), the deposit percentage may be adjusted accordingly. The specific amount will be confirmed by your travel consultant.
Once all the arrangements are completed, you will receive a confirmation letter containing the flight tickets, hotel details, and the daily itinerary. Please rest assured that if there are any changes later, we will notify you immediately and do our best to arrange an equally alternative itinerary to ensure that your travel experience is not affected.
The deposit constitutes a portion of the advance payment and will be used to cover the booking fees for third-party suppliers (such as hotels and airlines). Under specific conditions, the deposit may be refunded in accordance with the "Cancellation and Refund" section of this agreement, but a full refund may not be granted after deducting administrative fees and any costs already incurred by the third party.
1.3 Balance Payment
For tours with departure dates more than 30 days away, you are required to pay the full amount or the final balance within 30 days before departure. We will clearly indicate the deadline for payment of the balance in the travel service confirmation letter sent after you make the deposit.
If you fail to pay the fee within the specified deadline, we will remind you via email. If payment is still overdue, we have the right to cancel your reservation in accordance with these terms and charge corresponding cancellation fees according to the cancellation policy.
If you make a reservation request and confirmation within 30 days before departure, you must pay the full amount at the time of reservation confirmation.

The prices on the website and promotional materials are mainly expressed in US dollars (USD), which are usually converted based on the current exchange rate of Chinese yuan (CNY). Due to real-time fluctuations in international exchange rates, the price may fluctuate up and down with changes in the exchange rate when we provide you with a quotation. The final settlement price will be based on the real-time exchange rate at the time of booking confirmation.
Before you pay the full amount, we reserve the right to adjust the itinerary price. Price changes may be caused by uncontrollable factors such as significant fluctuations in exchange rates, adjustments in government taxes, increases in fuel surcharges, or price adjustments by suppliers. Once you have paid the full amount, except as otherwise stipulated in this agreement, the price will be locked.
2. Cancellation and Refund
2.1 Cancelled by You
If you need to cancel a confirmed order due to personal reasons, please notify us in writing (such as email or fax). The effective date of the cancellation notice shall be the actual date we receive your written notice. The refund for travel will be calculated based on the information provided in the table below:

If the cancellation occurs after the costs and expenses that are non-refundable have already been incurred, including but not limited to air ticket reservations and hotel reservations, these additional costs will be deducted from the aforementioned refund amount.
If you are unable to use some or all of the services due to personal reasons (such as illness, tardiness, changes in personal preference, etc.) after the start of the tour, you will need to bear all additional costs on your own.
In principle, confirmed reservations do not allow for changes to the passenger's name. If you attempt to transfer the booking, we will treat it as a cancellation of the original order and a new reservation, and will charge the cancellation fee for the original order as per the above standards.
2.2 Cancelled by Us
We promise to make every effort to fulfill the contract, but in rare cases, we may be forced to cancel your itinerary due to unforeseeable circumstances, such as flight cancellations, domestic or political turmoil, or force majeure.
Before the tour begins, if there are any adjustments, we will notify you immediately and provide solutions for you to choose from. At that time, you will have the following options: accept the change; replace it with another itinerary (and make up the difference based on the price difference); or cancel the trip and receive a full refund.
If the itinerary cannot be carried out due to the cancellation of flights by the airline, we will only refund the fees that have been recovered from the supplier. We suggest that you purchase travel insurance on your own to compensate for any additional losses.
3. Changes to Your Itinerary
Before you pay the deposit and confirm the final itinerary, you can at any time request the travel advisor to make modifications to the itinerary details, hotel standards, or activity arrangements. During this stage, we do not charge any additional consultation or modification fees.
After confirmation, any subsequent modifications will involve operational costs. A handling fee of $25 is required for each change. If the change involves pre-booked third-party resources (such as hotels, flights, etc.), any resulting liquidated damages, price differences, or non-refundable fees shall be fully borne by you.
We will do our best to complete your itinerary according to the planned schedule. However, in case of flight adjustments, traffic changes, or other unexpected situations, the itinerary may need to be adjusted accordingly. In such cases, we will notify you as soon as possible after making reasonable adjustments to the itinerary, and settle the account based on the actual cost difference after the adjustment. If any of the above situations occur, we will make the necessary adjustments to the itinerary and promptly inform you of the changes, and settle the account based on the actual cost difference.
4. Travel Documents
You must hold a passport with a validity period of at least 6 months (calculated from the estimated return date). You need to ensure that the information provided to us (such as name, gender, passport number, etc.) is true and valid. If any loss or inconvenience occurs due to incorrect information provided by you, such as inability to travel, visa rejection, or being deported by the border control authorities, all losses will be borne by you.
If the application materials provided by the customer are true, accurate, and complete, but are still rejected due to reasons not related to the customer, we will refund the full amount paid by the customer (deducting the actual handling fees and related costs incurred). We are not responsible for any transportation, accommodation, or other expenses incurred by the customer as a result.
5. Health Requirements
International travel may involve long flights, climate changes, and physical exertion. You are responsible for consulting a doctor before making the reservation to ensure that your physical condition is suitable for the travel plan.
If the itinerary includes high-intensity or high-risk activities such as hiking, diving, skydiving, etc., please make sure to confirm that your own conditions permit and purchase special insurance. The actions you take after we have fulfilled our duties and exercised necessary precautions are not our responsibility.
The medical vaccinations are entirely at your own expense and must be arranged before departure. All medical costs will be borne by the guests.
6. Insurance
There are unforeseeable risks during travel. Before departure, travel experts will remind you of the importance of risks and insurance. Although we do not mandate that you purchase insurance, we strongly recommend that you purchase a comprehensive travel insurance policy before departure to cover potential risks.
You need to ensure that the insurance covers risks such as medical treatment, emergency rescue, itinerary cancellation, property loss, terrorism, kidnapping, and personal liability. We do not assume any economic losses incurred due to your failure to purchase insurance or your refusal to purchase insurance.
7. Force Majeure
Force majeure refers to objective circumstances that cannot be foreseen, avoided, or overcome. This includes but is not limited to government actions, civil unrest, airspace closures, airline shutdowns, natural disasters, war, criminal or terrorist activities of any kind, and sanitation problems.
If a force majeure event occurs and the contract cannot be fulfilled or cannot be partially fulfilled, we will not be held liable for breach of contract, but will make reasonable efforts to assist you in reducing losses. If the itinerary is forced to be cancelled, we will deduct the fees already paid to the third party that cannot be refunded (such as ticket fees that the airline does not refund, hotel penalties, etc.) and refund the remaining amount.
In case of any interruption or extension of the trip, we will assist you in arranging the return journey or accommodation and meals during your stay. Any additional costs incurred will be your responsibility.
8. Complaints and Claims
If you have any dissatisfaction with our services during your trip, please report it to us immediately through the following channels. You can directly approach the tour guide, travel advisor, or customer service for the complaint. We will do our best to solve the problem on the spot and rectify any service flaws.
In order to protect the rights and interests of both parties, all complaints and claims must be submitted via email within 15 days after the end of the trip. Complaints exceeding the 15-day deadline will be deemed as your acceptance of all service quality, and we will no longer accept related claims.
9. Liability and Responsibility
Wild Socotra Tours, as a travel company, is responsible for coordinating and arranging all services in the itinerary. However, we only take responsibility for the services directly provided by our company. For the faults, negligence, or breaches of contract by third-party independent contractors (such as airlines, hotels, restaurants, attractions, transportation companies, etc.), we do not bear direct responsibility. If there are service defects (such as flight delays, hotel facility malfunctions) due to third-party reasons, we will assist you in negotiating claims with the third party, but we will not bear the compensation liability.
You need to comply with the laws, regulations, and customs of the destination country/region. If any personal injury, property damage, or legal liability is caused by your personal behavior, you shall be solely responsible.
Wild Socotra Tours reserves the right to make the final interpretation of the above terms and conditions. We reserve the right to modify these terms and conditions at any time. The modified terms will be published on the website and will come into effect from the date of publication. If you continue to use our services after the terms are modified, it will be deemed that you accept the modified terms.
